EMEA Logistics Specialist

Position Summary:

A member of the Supply Chain and Logistics team in charge of coordinating adapted logistics solutions from shipment schedule to effective delivery to customer for Finished Goods and Parts products.
Propose and set up logistics solutions, meeting the logistics operational goals, customers and business requirements in line with EU and non-EU regulations and best practices.
Liaise with the 3rd Party Logistics partner, transportation partners, customer service, Demand and Supply Planning team, Sales Operations and European Field Engineers. High percentage of the Service Parts orders are urgent orders for break down situation which must be shipped same day within agreed cut off time in the evening.

Position Responsibilities:

Provide support to internal and external customers and interact with Customer Order Service

  • Support customer service in their demands and set up appropriate logistics actions
  • Confirm status of delivery and expected delivery dates
  • Provide proof of delivery when requested
  • Provide adequate information about transportation price quotes
  • Handle customers complaints and organize product replacement when requested
  • Investigate root cause analysis for warehouse and transportation claims
  • Organize returns collection and handle returns when received by the warehouse
  • Act as customer service for intercompany customers : receive and handle claims, create returns and credits

Organize shipments

  • Work with the Demand and Supply Planning team to understand product availability and schedule shipments to match with constraints and customer/business requirements
  • Organize logistics operations together with the warehouse, coordinate special packing and special delivery instructions
  • Organize transportation solutions in line with transportation team directives: collect quotations, book transport, optimize loads, coordinate shipments with forwarders, and provide instructions for delivery
  • Arrange, as required, same day shipments or any other special shipments with carrier and/or 3rd Party Logistics partner. Obtain required approval as needed
  • Solve issues with logistics and transportation partners to ensure timely and quality delivery to internal and external customers
  • Understand activity variability for the warehouse and take appropriate actions to ensure all shipments happen on time

Issue and archive shipping documentation

  • Issue and verify documentation in line with EU and non-EU regulation, country and customer specific requirements to all partners (Incoterms, gross/net weight, etc.)
  • Manage logistics part of letter of credits, organize inspections
  • Ensure customs documents are cleared within a timely manner, send reminders to forwarders, solve issues and provide adequate alternative proofs when needed

Projects and continuous improvement

  • Drive productivity improvements
  • Support network change, specific process implementation
  • Participate in projects impacting logistics activities
  • Focus on issues, identify root cause and build corrective and preventive actions plans
  • Maintain tracking files updated in order to allow performances measurement and process improvements (export shipment dashboard, return and claims follow up, open customs document follow up, etc.

Desired Skills:

  • Certified Logistics specialist with at least 2 years in international Logistics and/or international Supply Chain experience.
  • Experienced knowledge of transport regulations and international import and export trade rules
  • Dangerous goods handling and documentation issuing
  • Advanced MS office skills, especially Excel, PowerPoint
  • SAP Order To Cash knowledge
  • Advanced level in English, ability to communicate effectively in multi countries/sites environment
  • Lean and 6 Sigma oriented with a good knowledge of main quality tools (process map, root cause analysis)
  • Experienced knowledge of Import/Export compliance rules and regulations is a plus
