Position Summary:
We are seeking an experienced Overseas Exhibition Project Manager to oversee the comprehensive management of the entire process for international exhibitions, including the Radiological Society of North America (RSNA) annual meeting. This role will lead exhibition planning, execution, vendor coordination, and client relationship management to ensure optimal brand presentation and participation outcomes at international events. Additionally, this position will serve as a key liaison for the company's digital accounts, collaborating closely with the marketing team to effectively convert offline exhibition traffic into online digital assets.
Position Responsibilities:
1. Exhibition Project Management (RSNA & Overseas Exhibitions)
· Manage the full lifecycle of planning and execution for the RSNA annual meeting and other overseas exhibitions, including booth reservation, exhibit material shipping, construction plan coordination, and on-site services.
· Maintain efficient communication with venues, external suppliers (construction, logistics, service providers) to ensure the smooth execution of all exhibition phases.
· Develop and manage project timelines and quality standards, ensuring critical milestones are met on schedule.
· Oversee on-site operations during exhibitions, including construction supervision, activity execution, and emergency handling.
· Possess thorough knowledge of RSNA rules and regulations to ensure exhibition behavior complies with organizer requirements and mitigates compliance risks.
2. Supplier and Budget Management
· Participate in the tendering, evaluation, and selection process for service suppliers (construction, logistics, PR, etc.), managing the Request for Proposals (RFP) process.
· Prepare and monitor exhibition project budgets, including booth fees, construction costs, shipping, travel expenses, etc., ensuring expenditures stay within budget and identifying cost-saving opportunities.
· Responsible for reviewing, archiving, and ensuring compliance for all exhibition-related contracts.
3. Client Relations and Sales Support
· Maintain efficient communication with exhibitors, providing professional services and on-site support.
· Nurture existing client relationships, identify potential client needs, and assist the sales team with registration and administrative processes.
· Collaborate with the digital marketing team to ensure sales leads generated during exhibitions are effectively entered into the CRM system (e.g., Salesforce) for data integration.
4. Cross-Cultural Communication & International Coordination
· Navigate cross-regional and cross-cultural work environments, building strong collaborative relationships with overseas organizers, service providers, and partners.
· Adapt to overseas travel requirements, leading teams to participate in RSNA and other international exhibitions, providing on-site support and problem-solving.
· Coordinate with internal departments (Marketing, Sales, Product, etc.) to ensure exhibition objectives align with the company's overall strategy.
5. Documentation and Reporting
· Organize, archive, and manage exhibition-related documents, including participation contracts, service agreements, and exhibition materials.
· Regularly prepare comprehensive post-exhibition summary reports, including effectiveness evaluation, ROI analysis, and recommendations for improvement.
· Monitor industry trends and exhibition developments, providing data-driven insights and optimization suggestions for the company's exhibition strategy.
Required Skills & Education:
1. Education Background
· Bachelor's degree or above, preferably in International Business, Exhibition Management, Marketing, or a related field.
2. Work Experience
· Minimum 3 years of project management experience specifically with overseas exhibitions, having successfully led the preparation and execution of multiple international events.
· Experience with RSNA or other major medical/professional international exhibitions is highly preferred.
· Experience in domestic and international exhibition organization is preferred.
3. Professional Skills
· Proficient in the full cycle of exhibition project management, including planning, execution, and evaluation.
· Familiar with international trade practices and characteristics of overseas markets, possessing strong negotiation skills.
· Proficient in Microsoft Office Suite and project management tools (e.g., MS Project, Asana).
· Familiarity with CRM systems (e.g., Salesforce) is a plus.
· Experience in financial modeling and budget management is an advantage.
4. Language Ability
· Fluent in English with excellent listening, speaking, reading, and writing skills, capable of using English as a working language for business communication with international partners.
· Overseas work or study background is highly preferred.

· Strong project and time management skills, able to handle multiple tasks and emergencies simultaneously.
